Incoterms for UK importers: choosing terms for China orders
Blog 2026-10-17
Choose your trade term around the actual supplier handover, who arranges transport and who can manage the UK import. Incoterms for UK importers are not a price list: FCA can suit a named China warehouse handover, FOB requires delivery on board, and CIF does not leave transport risk with the seller until UK arrival. Match the purchase contract to the freight booking before paying or dispatching goods. This guide uses Incoterms® 2020 for ordinary commercial imports into Great Britain—England, Scotland and Wales. Northern Ireland needs a separate customs and VAT assessment.

Request an initial freight quoteStart with two contracts, not one shipping label
Incoterms for UK importers allocate work, costs and cargo risk between buyer and seller. They do not replace the sale contract or determine ownership, payment arrangements or every remedy for delay.
Your freight booking separately defines the forwarder’s work. Buying goods EXW and purchasing a service marketed as “DDP freight” does not automatically make the supplier responsible for the entire journey. Likewise, a supplier’s promise to deliver to your warehouse is incomplete if the transport booking stops at the port.
Yunxi Freight can coordinate China collection, international transport, customs preparation and agreed UK delivery. Ask how the proposed services cover the responsibilities assigned by your purchase contract.
Seven Incoterms for UK importers to compare
The table summarises the normal allocation. “Seller” means your goods supplier, not automatically the freight forwarder. Risk means loss of or damage to the goods; exceptions can arise when a party fails to meet its obligations.

| Rule | Seller’s principal task | Normal delivery and risk-transfer point | Import clearance and applicable duties/taxes | Transport |
|---|---|---|---|---|
| EXW — Ex Works | Make goods available at the named place; no loading or export-clearance obligation | Goods at the buyer’s disposal, not loaded | Buyer; normally export formalities too | Any mode |
| FCA — Free Carrier | Clear for export and deliver to the buyer’s nominated carrier/person | At seller’s premises: loaded on buyer-arranged transport; elsewhere: on seller’s vehicle, ready for unloading, at the nominated carrier’s disposal | Buyer | Any mode/multimodal |
| FOB — Free On Board | Clear for export and deliver on board at the named shipment port | On board the vessel at origin | Buyer | Sea/inland waterway |
| CFR — Cost and Freight | Clear for export and pay carriage to the named destination port | On board at origin, despite seller-paid freight | Buyer | Sea/inland waterway |
| CIF — Cost, Insurance and Freight | CFR obligations plus the required insurance arrangement | On board at origin | Buyer | Sea/inland waterway |
| DAP — Delivered at Place | Arrange carriage and export/applicable transit formalities | Named destination, on arriving transport, ready for unloading | Buyer | Any mode/multimodal |
| DDP — Delivered Duty Paid | Arrange carriage, export, transit and import formalities, including applicable import taxes | Named destination, import-cleared, ready for unloading | Seller under the sales rule; lawful import arrangements must be established | Any mode/multimodal |
Of these seven rules, only CIF obliges the seller to arrange insurance for the buyer. Do not infer insurance from “door-to-door”. DAP and DDP do not automatically include unloading; check costs already included in the carriage contract.
Agree the China handover: EXW vs FCA, then FCA vs FOB
The most useful distinction in Incoterms for UK importers is often where the supplier actually hands over the goods.
EXW vs FCA: loading and export arrangements
Under EXW, the supplier makes goods available without an obligation to load the collecting vehicle or clear them for export. That can be awkward for an overseas buyer trying to organise China-side formalities. The seller still has packaging and information-assistance obligations; EXW does not mean “no paperwork”.
If the supplier will load your nominated vehicle and handle export clearance, assess FCA at the supplier’s premises. If delivery is to another named place, FCA has a different handover condition: goods arrive on the seller’s vehicle, ready for unloading and available to the nominated carrier/person. State the precise point rather than simply “FCA China”.
FCA vs FOB: warehouse receipt is not shipment on board
Containerised goods, including LCL cargo, commonly reach a carrier or consolidation facility before vessel loading. ICC advises considering FCA where goods are handed over before they are on board. A warehouse receipt does not automatically establish FOB delivery.
For Incoterms for UK importers involving several suppliers, record each supplier’s agreed handover independently. Combining their goods does not rewrite their sales terms.
Yunxi’s About Us page describes China collection and consolidation support. Obtain the authorised warehouse address, receiving reference, ready-date requirement and agreed checks before instructing a factory to dispatch.
Illustrative example: a supplier sells FCA at an agreed consolidation warehouse in China. Delivery occurs under the applicable FCA conditions, ready for unloading from the seller’s vehicle. Later vessel loading is a separate milestone. Under an FOB sale, the normal delivery point would instead be on board at the named shipment port. This example illustrates the contractual distinction; it is not a customer case or a prescribed booking arrangement.
CFR and CIF: seller-paid freight is not destination risk
Incoterms for UK importers distinguish the place where risk transfers from the destination to which the seller pays carriage. Under CFR and CIF, normal delivery and risk transfer occur on board at the shipment port, although the seller pays the agreed freight to the destination port.
CIF risk transfer therefore does not wait for Felixstowe or Southampton. CIF’s default insurance requirement is Institute Cargo Clauses (C) or similar cover, unless higher cover is agreed. Check insured value, covered risks, exclusions and claim documents; limited cover is not the same as guaranteed compensation.
Who pays UK destination charges under CIF? Separate the charges. The seller bears unloading charges already for its account under the carriage contract; remaining handling, import formalities and onward transport require the applicable rule and agreed scope to be checked. Do not classify every UK charge as automatically buyer-paid or already included.
FOB, CFR and CIF are sea/inland-waterway rules. For seller-paid air or multimodal carriage, assess the appropriate alternatives, such as CPT or CIP, rather than applying CIF indiscriminately.
Keep destination terms and UK import arrangements in view
Incoterms for UK importers should reflect who can lawfully organise the destination import. DAP places import formalities and applicable duties/taxes with the buyer; DDP places them with the seller. Neither abbreviation identifies the importer or makes Yunxi Freight the importer automatically.
Confirm the importer, customs representative, authority to act and supporting records. Great Britain generally requires a GB EORI for business imports; Northern Ireland has separate considerations. Appointing an agent does not remove the appointing business’s customs due-diligence responsibilities.
PVA is separate from the trade term. Eligible UK VAT-registered businesses can account for import VAT on their VAT Return, subject to conditions including business use, disposal rights and correct declaration details. An agent needs written instructions before declaration. Normal recovery rules apply; PVA is neither duty relief nor guaranteed VAT recovery.
Use the DDP vs DAP shipping guide for the fuller destination comparison. If a DDP sale is proposed alongside buyer PVA, agree the import-VAT treatment and any necessary contractual variation explicitly.
Unsure whether the supplier’s handover matches your freight quotation? Share both scopes and identify the importer and destination you intend to use.
Discuss my handover and import arrangementsCompare responsibility before comparing the headline price
Using Incoterms for UK importers well means comparing the same goods between clearly identified points. Keep the goods price, freight services, import charges and conditional costs visible without counting an included charge twice.
Request confirmation of:
- Origin collection, loading, warehouse handling and export work.
- International freight, surcharges, quote validity and charging measurements.
- UK handling, customs services and onward delivery to the actual postcode.
- Duty and import-VAT payment/accounting arrangements.
- Insurance and conditional examination, storage, demurrage, detention or redelivery charges.
Keep cash requirements separate from business cost after any lawful VAT recovery. A DDP label does not create unlimited cover for every exception, and a forwarder’s exclusions do not automatically change the seller’s obligations to you.
LCL/FCL concerns container use, not the sales-contract allocation. The LCL vs FCL buyer’s guide covers that separate decision. There is no universal shipment volume that makes FOB or DDP the correct rule.
Turn Incoterms for UK importers into supplier instructions
Before payment or booking, give procurement, the supplier, the forwarder and the receiving team one agreed record:
- Rule, edition and precise place. For example, “FOB Yantian Port, Shenzhen, Incoterms® 2020”. Add the exact handover point where appropriate.
- Cargo and readiness. Match the purchase order, invoice and packing list; obtain final packed dimensions, gross weights, handling requirements and each supplier’s ready date.
- Handover evidence. Identify who confirms collection, warehouse receipt or on-board delivery and what record demonstrates the agreed milestone.
- Import instructions. Record the importer, representative, EORI and applicable VAT details, document responsibilities and authorisations.
- UK receiving. Confirm the full postcode, goods-in reference, appointment, vehicle access and unloading resources. For FBA, use the current shipment instructions; a fulfilment-centre address does not establish import responsibility.
- Changes and exceptions. Name the person approving split dispatches, revised packing, storage, destination changes or additional handling. Reconcile the contract and booking after changes.
Receiving checks do not replace product inspection or compliance assessment. The China to UK shipping FAQs explain the wider preparation and delivery questions. Keep port arrival, customs release, delivery and stock availability as separate milestones.
Frequently asked questions
Which Incoterm should a first-time UK importer choose?
There is no universal first-shipment rule. Incoterms for UK importers should match the handover and the parties’ ability to organise transport and import formalities. Obtain a defined service scope and establish the importer before accepting an inclusive quotation.
Is FCA better than FOB for container shipments?
FCA is worth assessing when the supplier hands goods to a nominated carrier before vessel loading. FOB normally delivers on board. Choose the rule that matches the intended handover, not simply the fact that the goods travel by sea.
Does buying DDP freight change an EXW purchase contract?
Not automatically. The goods contract and freight booking have separate parties and obligations. Check who covers collection, loading, export work and the onward journey; amend the purchase contract expressly if a different supplier obligation is intended.
Must I use a new Incoterms edition because I am shipping in 2026?
No. This guide uses Incoterms® 2020; the shipment year does not create a new edition. Record the chosen rule, location and edition. Review an existing agreement against the version it actually incorporates.
Can I treat DDU as DAP without asking the supplier?
No. DDU is historical and is not an Incoterms® 2020 rule. Clarify the intended edition, delivery point, import duties, VAT and unloading allocation before agreeing revised wording.
Bring the agreed handover to your freight enquiry
Your Incoterms for UK importers decision should produce a clear purchase instruction and a matching logistics scope. Send the proposed rule and named place, supplier locations and ready dates, product description and value, packed measurements, UK delivery postcode and receiving requirements. Include available importer/EORI/VAT information and flag unresolved responsibilities.
Yunxi Freight can assess collection, consolidation, transport, customs preparation and agreed delivery against those details. Acceptance and the final quotation depend on the goods and confirmed arrangements.
